How do I avoid adding duplicate leads and customers? What do I do if I get a conflict warning?

What is conflict prevention?

Conflict prevention in Saleboat will warn you that there may be an existing conflict in your company account for a lead or customer that you are trying to create.

  • For Leads: names (spelling), phone numbers and email addresses are considered.

  • For Customers: names (spelling) and phone numbers are considered.

This works by comparing the information you input and any existing entities on your company’s Saleboat account. All leads and customers on the account are referenced this includes any dormant customers.

What happens when you attempt to create a new lead or customer that may be a conflict?

  • If it is an exact match, it cannot be created.

  • If it is a partial match (spelling or phone number), you have the discretion to move forward and create it or to edit the details if it is a different company.

If you’re attempting to add a lead or customer that already exists and belongs to either you or another user, you will get a warning on the web platform. Your warnings don’t prevent you from creating anything, they will show:

- the name of the lead or customer

- their phone number

- which user it belongs to

- the date that the lead or customer was added.

You can use these details to make sure it isn’t a true duplicate.

If it is a duplicate, it shouldn’t be added.


Will I be warned if I'm trying to add a duplicate?

Yes, and your warning will look something like this:

Notes about conflict prevention/duplicate detection:

  • Exact duplicates of other existing leads can be created after the warning has been shown to you - it is up to you not to add duplicate leads.

  • Exact duplicates of other existing customers cannot be created after the warning has been shown to you.

  • If you know that they are different companies, you can choose to create anyway. If it is a duplicate, do not add it.

  • We ignore brackets, casing (a vs A) and hyphens in customer and lead names when checking for duplicates.

  • We also consider dormant customers, no matter who they belonged to before.

  • If you misspell a lead or customer name badly, it will not be flagged as a potential duplicate.

  • If you are trying to add a lead called Louis Vuitton, but there is already a customer called Louis Vuitton International Fashion House - this will not be flagged as a potential conflict because of the name. There is a massive difference in the characters of the names - more than 20 letters.
